[CA] CALPADS Flash #290:  2024-25 Submission Deadlines

The California Department of Education recently released CALPADS Update Flash #290, detailing important submission deadlines, data guidelines, and key practices for the 2024-25 academic year. This update is essential for Local Educational Agencies (LEAs) and Special Education Local Plan Areas (SELPAs) to ensure data accuracy and compliance. Here are the main points:


2024-25 Submission Deadlines

  • Fall 1 Submission opened October 2, 2024.
  • Fall 1 Certification Deadline: December 13, 2024.
  • Amendment Window Deadline: January 24, 2025.
  • Recommended Date for No Fatal Errors: November 22, 2024, to allow sufficient time for review.
  • System Outage: Scheduled for December 14–16, 2024.

Key Dates for Other Submissions:

  • Fall 2 Deadline: February 28, 2025.
  • End-of-Year (EOY) 1 & 2: Deadline on July 25, 2025, with the amendment window closing on August 8, 2025.
  • EOY 3 & 4 Deadlines: Same as EOY 1 & 2, but SELPA approval required for certain submissions.

Amendment Limitations

  • Finality of Deadlines: Post-deadline amendments will not impact funding calculations. Any revisions must go through the local audit process.
  • Assignment Monitoring: No data changes for assignment monitoring after the Fall 2 deadline. Issues here must be addressed through CalSAAS.

Use of Data for Funding and Monitoring

  • Funding Calculations: Fall 1 data informs the Local Control Funding Formula (LCFF) for supplemental and concentration grants.
  • Special Education Monitoring: To aid compliance monitoring, data for federal indicators on disproportionality (overall and by specific disabilities) will be pulled after the December 13 certification date.

Graduation Data for the California School Dashboard

  • New Graduate Cut-Off: EOY 3 data submission is due August 8, 2025. The cut-off for 4-Year Adjusted Cohort and Graduation Rate Indicator remains August 15.
  • Implications for Graduates: Only students graduating by August 15, 2025, are included in the 4-year cohort for 2024-25; others will be in the 5-year cohort for the following year.

Summary of Best Practices for LEAs:

  • Resolve errors early by the no-fatal-error deadline.
  • Align grade 12 exits and demographic updates with the EOY 3 deadline.
  • Plan for System Outages and allocate time to ensure data readiness before each deadline.
