[CA] CALPADS Flash #293:  Fall 2 Changes

The California Department of Education (CDE) issued CALPADS Update Flash #293 on December 5, 2024. This update introduces changes and clarifications for the 2024−25 academic year that impact local educational agencies (LEAs). Below are the essential takeaways:

Updates to Staff Reporting

  • Annual Updates for Staff Service Years:

    • Accurate reporting of Staff Service Years is critical for identifying “ineffective” teachers in the Teacher Assignment Monitoring Outcome (TAMO) report.
    • LEAs must:
      • Annually update Field 7.30 – Staff Service Years LEA and Field 7.31 – Staff Service Years Total.
      • Ensure effective start dates are reported in the current year for better data validation.
  • Reporting FTE for Employees on Leave:

    • LEAs are now required to report Full-Time Equivalent (FTE) percentages for staff on leave.
    • This ensures accurate federal reporting and supports FTE-based metrics in TAMO and DataQuest.

New Validation Rules

  • Restricted File Submissions for Preschool Assignments:

    • Files such as Staff Assignment (SASS) and Student Course Section Enrollment (SCSE) cannot be submitted for preschools. Validation errors will occur if grades are reported as preschool (PS).
  • Prohibition on Future Academic Year Records:

    • LEAs cannot submit student course enrollment or completion records for future academic years. Errors will trigger for violations.

Additional Tools and Mapping

  • New Supporting Extract for Staff Teaching Assignments:

    • A supporting extract for Report 4.3 – Staff Teaching Assignments (Detail) has been introduced to assist in cases where Snapshot reports fail to render.
  • Updated Mapping for State Course Codes:

    • Career Technical Education (CTE) courses are now mapped to more specific subject areas rather than being grouped under "CTE."
    • This change provides a detailed view of subject-specific teaching assignments, aiding in better representation in reports like DataQuest.

Implementation Dates

  • Fall 2 Certification Reports will be available starting December 18, 2024, based on the CALPADS calendar.
