[CA] CALPADS Update Summary - May 24, 2024

In the latest release of the CALPADS Digest, the California Department of Education has outlined several critical updates and reminders for the Local Educational Agencies (LEAs) concerning data submissions and system updates. Here are the key takeaways from the document:

New Updates

  • Special Education Reporting Enhancements: The CALPADS system has introduced significant changes in the reporting for Special Education as part of the End of Year (EOY) 4 updates. Reports 16.22 and 16.23, which detail student disabilities and special education status, are being updated. Report 16.23 is now available, and Report 16.22 is scheduled to be accessible by May 28, 2024.
  • Certification Data Discrepancies (CDDs): Most CDDs required for the 2023-24 EOY 4 are now in production, with the exception of SENR0606E4, which will be enabled by May 28, 2024. This will coincide with the activation of LEA/Special Education Local Plan Areas (SELPA) approval buttons for EOY 4 submissions.

Important Dates and Reminders

  • EOY Submission Timeline: The window for EOY submissions opened on May 7, 2024. All submissions must be approved by LEAs by the certification deadline of July 26, 2024. LEAs are urged to resolve all fatal errors by July 12 to ensure accurate reviews of certification reports.
  • Amendment Window Closure: LEAs and SELPAs must approve their EOY 3 and 4 submissions by August 16, 2024. There will be no extensions to this deadline.
  • English Language Acquisition Status Update: LEAs must update the English Language Acquisition Status in CALPADS for students redesignated as Reclassified Fluent English Proficient (RFEP) based on the 2022-23 ELPAC scores by May 31, 2024.

System Access and Data Importation

  • Education Data Collection System (EDCS): The EDCS is open for uploading data for programs like the Armed Services Vocational Battery (ASVAB) and State Seal of Civic Engagement (SSCE). CALPADS LEA Administrators who need to reset their passwords or grant access to other staff members can follow the instructions provided in the digest.

  • Educational Testing Service (ETS) Lookup Tool: A new tool provided by ETS allows users to find solutions to student record discrepancies quickly.
  • Regional Meeting Materials: All materials for the regional update meetings are available on the CDE Box site and the CSIS YouTube channel.
