[CA] CALPADS Update Flash #306 – EOY 2024–25 CALPADS Submission Tips

The California Department of Education (CDE) has issued CALPADS Flash #306 to remind Local Educational Agencies (LEAs) of important dates, procedures, and new updates for completing their End-of-Year (EOY) submissions for the 2024–25 academic year.

Key Submission Deadlines

LEAs must meet the following milestones to ensure successful certification:

Milestone Date Details
No Fatal Errors July 11, 2025 All fatal errors should be resolved for clean certification reports.
Certification Deadline July 25, 2025 LEAs must approve all 4 EOY submissions. SELPAs are encouraged to certify EOY 3 and 4.
Amendment Window Ends August 8, 2025 Final date to submit revisions for certification.

Tip: Upload remaining files at least 1 day before the amendment window closes.

Certify EOY 3 Before Others

LEAs are urged to certify EOY 3 before EOY 1, 2, or 4 because:

  • EOY 3 updates student enrollment/exit and demographics.

  • Certifying EOY 1, 2, or 4 before EOY 3 may cause data mismatches.

  • Students with Disabilities (SWDs) data in EOY 4 (e.g., Reports 16.22 & 16.23) may be inaccurate if EOY 3 isn't finalized first.

Recommendation:
Certify EOY 3 first, then update and certify EOY 4 immediately afterward.

Confirm Schoolwide Program (SWP) Status in CARS

For schools receiving Title I, Part A funds:

School Type Action Required
SWP Certify in CARS using the "Notification of Authorization of Schoolwide Program" form.
TAS Must submit Education Program Code 122 records to CALPADS.

If SWP status is missing in CARS, schools default to TAS in CALPADS and will trigger error CERT097. LEAs won’t be able to certify EOY 2 until fixed.

Action:
Coordinate with Title I Coordinators to certify SWP statuses in CARS before July 11, 2025.

SED Group Impact: Secondary Direct Certification Match

Starting July 1, 2025, CALPADS will integrate secondary Direct Certification (DC) data from the California Department of Social Services (CDSS) to enhance identification of students in the socio-economically disadvantaged (SED) group.

  • This match adds to initial data from DHCS (Health Care Services).

  • Results automatically update CALPADS reports.

  • Expect an increase in SED student counts.

Note:
LEAs who certify early may want to revisit their reports post-July to check SED data changes and recertify if needed.

Final Reminders

  • Complete EOY 3 first to avoid inconsistencies.

  • Ensure SWP statuses are correctly identified in CARS.

  • Plan ahead for updates from the July DC match.

  • Wrap up submissions by August 8, 2025.
