The California Department of Education (CDE) released CALPADS Update Flash #307 on June 13, 2025, to provide critical reminders and clarifications for Local Educational Agencies (LEAs) submitting data for the 2025 SUN Bucks program through the Education Data Collection System (EDCS).
This update supplements the detailed guidance from Flash #297 – Revised (June 12, 2025) and focuses on best practices for the Supplemental SUN Bucks Collection (SSBC) to ensure timely benefit issuance.
The SSBC is a data collection in EDCS where LEAs upload records for students who may be eligible for 2025 SUN Bucks. This includes non-streamline certified students who must be identified by the LEA for benefit eligibility.
LEAs must upload the following approved data:
Date Universal Benefits Application (UBA) was received
Date National School Lunch Program (NSLP) application was received
Date of direct certification via local process
Date benefits were extended based on household certification
All dates must fall between July 1, 2024, and September 2, 2025. Anything outside this range will result in a fatal error.
Task | Guidance |
---|---|
✔ Process UBAs quickly | Ensure approved UBAs are submitted early to get students into monthly CDSS files. |
✔ Submit verified UBAs only | UBAs selected for verification must be uploaded after verification. |
✔ Track NSLP/local match dates | Most NSLP dates are from Fall 2024; ensure local certification dates are accurate. |
✔ Full file uploads | Each SSBC file replaces all prior uploads. Always include all records each time. |
LEAs must submit records before 5:00 p.m. on the last business day of the month to be included in the data extract for benefit issuance the next day (e.g., upload by July 31 to be included in the August 1 extract).
Tip: Maximize submissions before pull dates to help more students receive benefits sooner.
Review UBA verification requirements in Flash #297 – Revised.
Upload UBAs to EDCS monthly and include all verified records.
Coordinate with school nutrition and CALPADS staff to ensure accuracy.
