[CA] CALPADS August 2025 Updates

The August 2025 CALPADS Digest shared several CALPADS reporting updates for LEAs. The updates covered submission planning, training registration, report names, course reporting, and charter-school reporting status.

The dates in this update are historical. However, the process changes remain useful for teams that want clearer reporting workflows and better data review practices.

Plan Early for Submission Windows

CDE posted the 2025–26 Fall and End-of-Year submission windows on the CALPADS calendar.

LEAs needed to review more than the final certification deadline. They also needed to plan for the recommended zero-error date.

That earlier target gave teams time to resolve errors, review reports, and obtain needed approvals. Therefore, LEAs should build internal deadlines before the CDE deadline.

For current deadlines, always use the CDE CALPADS calendar.

Use the CSIS Training Registration System

CDE moved Fall 1 training registration to the CSIS Training Registration system.

The new system removed the previous two-user limit per LEA. It also allowed more staff to register, subject to Zoom capacity.

In addition, users did not need a login to view training options. This made it easier for LEAs to involve enrollment, program, special education, and SIS staff in training.

Visit CSIS Training for current registration and learning resources.

Know the Updated Report Names

CALPADS updated report names in August 2025:

The location of the reports did not change. However, the new names better described how they work.

RealTime Reports update as data posts to CALPADS. Certification Reports support the review and certification process for a submission window.

Teams should use both report types. First, review RealTime Reports to catch issues early. Then, use Certification Reports to confirm that the LEA is ready to certify.

Review Homeroom and Study Hall Course Codes

The Digest clarified two homeroom course codes:

  • 9217 – Homeroom, Credit: LEAs must report this course. The assigned teacher must hold a full teaching credential.
  • 9207 – Homeroom, No Credit: Reporting is optional.

Before submitting course data, review local course setup and assigned staff. A course code can affect both reporting requirements and credential expectations.

Charter Reporting Status Remains an Annual Decision

In 2025, charter schools could change their CALPADS and CBEDS reporting status from July 1 through August 31.

The 2025 deadline has passed. Still, the annual process remains important. Charter schools and authorizing agencies should discuss reporting responsibilities before the next status-change window opens.

For current policy and deadlines, review CDE’s CALPADS and CBEDS Charter School Data Reporting Policy.

What LEAs Can Apply Today

This update reinforces a practical approach to CALPADS work:

  1. Set internal deadlines before the CDE deadline.
  2. Train more than one staff member on key reporting processes.
  3. Review RealTime Reports throughout the year.
  4. Confirm course codes and staff assignments before submission.
  5. Clarify reporting responsibilities with charter partners early.
