[CA] CALPADS Update Flash #312 - Streamlined EOY Reporting for 2025–26

 

The California Department of Education (CDE) released CALPADS Update Flash #312, introducing critical changes to End-of-Year (EOY) data submissions for the 2025–26 academic year. These updates aim to streamline reporting, align certification with data pulls, and support the earlier release of the California School Dashboard.

Key Drivers Behind the Changes

Under Senate Bill 114, CDE must release the Dashboard earlier each year. To support this, the CALPADS EOY Amendment Window also closes earlier. As shown in Table 1, the 2025–26 Dashboard release date is October 15, and the CALPADS EOY Amendment Window deadline is July 31, 2026, one week earlier than the prior year.

Submission Structure Overhaul

To ease alignment with early deadlines, CALPADS is restructuring EOY submissions into two new categories:

  • EOY 1 includes most programmatic and demographic data, excluding one-year graduates and completers.

  • EOY 2 now houses graduation-related data and aligns with the August 17 cohort pull—one day after the August 15 graduate cutoff.

Summary of EOY 1 Content

  • Data from previous EOY 2, 3, and 4

  • New additions: Attendance Recovery (via STAS), Expanded Learning Programs (via LEAP)

  • Identification of students with disabilities who graduate or drop out

SELPAs must approve EOY 1 by July 31 each year, unless the date falls on a weekend, in which case the following Monday applies.

Summary of EOY 2 Content

  • Former EOY 1 content (course completion, CTE, work-based learning)

  • One-year graduate and completer data (from former EOY 3)

  • SELPA approval is not required

  • No amendment window

  • Data certification and cohort pull occur simultaneously on August 17

Benefits of the Changes

These updates are designed to:

  • Improve data consistency across submissions

  • Allow more time for schools to finalize graduation data

  • Better align College/Career Indicator (CCI) data with the actual student cohort

  • Streamline error resolution by consolidating Certification Validation Rules (CVRs) and Certification Data Discrepancies (CDDs)

  • Reduce the burden of managing four separate EOY submissions

Data Discrepancy Timeline

The new EOY 1 and EOY 2 discrepancies will appear in the CALPADS interface after September 9, 2025, once mapped to their new submission cycles. All discrepancies will be converted to Certification Data Discrepancies (CDDs) when the EOY window opens on May 5, 2026.

This restructured EOY process supports earlier and more accurate reporting while easing the administrative load on LEAs. By consolidating deadlines and aligning submission content with cohort timing, CALPADS is enabling LEAs to deliver high-quality data with greater efficiency.
